The Executive Assistant serves as the administrative point person for the President & CEO and manages an array of projects at any given time, including work with the Board of Directors. The Executive Assistant also provides administrative support to the other members of the Executive Team, as possible. It is essential for this staff person to possess a high level of integrity, discretion, and professionalism in handling confidential information and managing relationships with staff, board, funders, and organizational colleagues. This role requires exemplary attention to detail, an ability to anticipate future needs, flexibility, a positive outlook, and a healthy sense of humor. 

The Executive Assistant reports directly to the President & CEO, works out of Keshet’s Newton office (minimum two days a week in-office/other days may be remote is the current policy), and collaborates with our growing staff across the country, currently operating out of our national office in Boston and five other offices, as well as numerous remote staff.

Keshet’s national office is in Boston with offices in the Bay Area, Chicago, New York, Texas, and Florida.

Responsibilities:

  • Executive Support
    • Manage CEO’s calendar, scheduling and confirming appointments, preparing materials for meetings, and coordinating travel arrangements
    • Coordinate CEO’s speaking engagements and event attendance, and work with other staff to prepare as needed
    • Support CEO’s preparation for and follow-up from meetings and fundraising events
    • Prepare expense reports and related administrative tasks for CEO’s travel and other expenses 
    • Provide development support to CEO including donor research, compilation of reports, and gathering of program data 
    • Provide basic tech support to CEO and facilitate connection to external IT support as needed 
    • Perform ad hoc administrative tasks as needed for CEO and other members of the Executive Team 
  • Development Support:
    • Attend Development Team Bi-Weekly Meetings to support the CEO’s scheduling with major donor travel, 1:1 meetings, and Zoom calls.
    • Support the CEO with identifying opportunities for personalized touchpoints between the CEO and Keshet’s donor, colleagues, and lay leaders to deepen and engage in meaningful stewardship.
    • Communicate and coordinate with the development team to schedule personalized touchpoints and stewardship communications for the CEO throughout the fiscal year.
    • Work with the development team to support the CEO, including donor research, donor meeting strategy prep, compilation of reports, and gathering of program data.
  • Board Support
    • Coordinate all logistics around board meetings including scheduling, managing RSVPs, location, refreshments and catering, technology needs, and materials preparation
    • Schedule board committee meetings 
    • Take notes at board, executive committee, and governance meetings and disseminate notes in a timely manner 
    • Manage board orientation process, including scheduling orientation and the compilation of the board manual for new members
    • Maintain and disseminate board organizational calendar 
    • Maintain and update all board records in Salesforce and Box  

Qualifications:

  • Outstanding written and verbal communications skills and stellar attention to detail
  • Ability to produce high-quality and accurate work in a timely manner
  • Excellent planning, project management, and execution skills
  • Ease with handling multiple priorities and deadlines and flexibility, skill, and calm when needing to pivot in response to unexpected changes
  • Exceptional interpersonal skills with the ability to cultivate strong relationships with colleagues, organizational partners, donors, and board members
  • Comfort with navigating a fast-paced, high energy, and creative environment effectively and efficiently
  • Ability to take initiative, set priorities, and work independently while also being a team player
  • Commitment to bring a racial justice and gender equity lens to programs/work products as well as staff culture
  • Prior experience providing executive support for a leader of a national or international organization is preferred
  • Excellent command of Microsoft applications and Zoom
  • Experience with Salesforce and Box a plus
  • Ease working with a team that is diverse in sexual orientation, gender, race, class, and majority Jewish
  • Ease working with colleagues in multiple geographic locations and using technology to facilitate daily work and collaborative projects
  • Willing and able to travel approximately once per quarter

Compensation:

This is a fulltime exempt position.

Salary range is $58,000-$74,000. Salary is based on related experience and expertise.
